Writing Effective GMs

Before you send out that next Group Message, here a few tips you can use to make the process as smooth and as helpful as possible for you and your recipients.

Let Your Group Know to Expect It

People will be far more likely to read and respond if they know to expect your message. Even though the message will contain your name when it is sent out, and emails will have your name in the From area, the return addresses will still go back to group messenger. However, if they know to expect your message, they will know immediately that they are using a service you've condoned.

Another useful reason to let them know is in case the email is blocked by a SPAM filter. Some recipients with strict email rules may have to specifically white-list (allow) messages from Group Messenger. If your recipient knows to expect your message, he or she will be able to let you know that it didn't arrive.

Set One Clear Objective Per Message

Each Group Message type is intended to resolve and address one objective. You should be brief and to the point. This focuses all of the group's energy in one place to achieve one shared outcome that you can take action on. When the message is clear and simple, more people respond.

Some objectives may require multiple messages. For example, you might send out two polls, where the first one narrows down a list of items for the second. Or, you might first send out a Schedule message to find the best date and time for an event, then send out a Signup message to work out who's doing what. The possibilities are endless.

Hold a Discussion

The message page is the perfect place to have a discussion working out fine details, lobbying for ideas, or offering helpful resources. Make sure you remind your participants in your message to utilize the comments. Each person can opt to receive an email when any new comments come in. People will be more encouraged to start and join a discussion if such instructions are made clearly by you in your initial outgoing message.
